Quick answer: The best AI sales tools in 2026 each fix one step of the sales workflow. For research, Apollo and Clay lead. For writing emails, Lavender and Regie.ai. For meeting notes and follow-up, Fathom, Fireflies.ai and Sybill. For call coaching, Gong and Hyperbound. For forecasting, Clari Forecast (now part of Salesloft) and Backstory (formerly People.ai). For keeping the CRM clean, Momentum and Scratchpad. Before buying any of them, check what your CRM already includes: HubSpot, Salesforce and Pipedrive all bundle AI now. Prices below are vendor-published, checked September 2026.
Most “AI sales tools” lists mix three different things: assistants that help a rep do the job, agents that try to do the job for them, and plain automation with an AI label. This guide covers the first group, AI that helps across the whole sales workflow: research, email writing, call coaching, forecasting, meeting notes and CRM hygiene. Autonomous agents that prospect and send outreach on their own are a separate category, covered in our guide to AI SDR tools.
For a map of every sales tool type (CRM, data, engagement, dialers, intent and more), see types of sales tools. To browse the whole category, see AI sales assistant software.

What can AI be used for in sales?
AI now shows up in six places in a typical B2B sales process. Each maps to a group of tools below:
- Research: summarising an account, finding the right contact, spotting a trigger such as a new hire or funding round.
- Writing: drafting first emails and replies, and scoring a draft before it is sent.
- Coaching: reviewing recorded calls, or letting reps practise against an AI buyer.
- Forecasting: reading CRM, email and call activity to judge which deals will actually close.
- Meeting notes: recording, transcribing, summarising and drafting the follow-up email.
- CRM hygiene: writing call outcomes, next steps and fields back into Salesforce or HubSpot so reps do not have to.
The seventh use, AI that runs outbound on its own, belongs to AI SDR tools such as 11x, Artisan and AiSDR. Those are priced and judged differently, so they are not repeated here.
Best AI tools for prospect and account research
Apollo.io: AI research on top of a contact database
Apollo puts AI on top of its own B2B database. Its pricing page lists AI Research, AI lead scoring, an AI Assistant and AI Writing (5,000 words a month on the free plan, rising to 1,000,000 on the top tier). Paid plans are Basic at $49, Professional at $79 and Organization at $119 per seat per month on annual billing (Organization needs 3 seats). The free plan includes the AI Assistant with 5 chats of 10 messages. AI research draws on the same credits as data lookups, so heavy use eats into your email and phone reveals. Our Apollo.io review covers the credit maths.
Clay: Claygent research agents
Clay‘s Claygent is an agent that researches the web and writes a structured answer into a spreadsheet column: “Claygents are agents in Clay that perform tasks on your behalf.” Typical uses include checking whether a company sells to enterprises, pulling a recent product launch, or scoring fit against your ideal customer profile. Clay has a free plan (500 actions and 100 data credits a month); Launch costs $185 a month, or $167 a month billed annually. Claygent charges one action per prompt plus data credits that vary by AI model. See our Clay review for how fast credits go.
Crystal: personality insights before a call
Crystal predicts a prospect’s communication style from public data and tells you how to write to them. Crystal Predictions costs $59 a month or $590 a year for 20 prospect profiles a month, and your first three prospects are free. It is a niche add-on for account executives on high-value deals, not a daily prospecting tool.
Best AI tools for writing sales emails
Lavender: an email coach in your inbox
Lavender scores each email as you write it, flags what “hurts your reply rate”, and suggests personalisation from prospect data. The free plan covers 5 emails a month. Starter is $27 a month billed annually ($29 monthly) for unlimited emails, Individual Pro is $45 ($49 monthly), and Team is $89 per seat ($99 monthly) with a coaching dashboard. Lavender also now sells an AI sales agent called Ora, which is an agent product and outside this list.
Regie.ai: research, writing and a dialer in one
Regie.ai researches accounts, drafts messages and sends AI-written email from your own Gmail or Outlook. RegieGO has a free tier of 250 one-time credits. Pro is $41 a month billed annually ($49 monthly) with 5,000 credits and a power dialer; Team is $125 per seat a month annually with a 2-seat minimum. If you mainly want personalised first drafts inside a sequence, the AI writers built into sales engagement platforms may be enough.
Best AI tools for meeting notes and follow-up
This is where most teams start, because the value is immediate: no more typing notes. Our full comparison is in best AI meeting assistants and Fireflies vs Otter. For sales teams, the question is whether the notes flow into the CRM:
- Fathom is free for unlimited recordings and AI summaries. CRM field sync and Deal View are on Business at $25 per user a month annually ($34 monthly), with a 2-user minimum.
- Fireflies.ai has a free plan; Pro is $10 per seat a month annually ($18 monthly) and Business, which adds conversation intelligence, is $19 ($29 monthly).
- Sybill is built for sales: AI follow-up emails, deal summaries and CRM autofill. The free plan includes 20 AI summaries a month per team; Pro starts at $30 per user a month, and CRM autofill is on Business.
- Avoma charges per recorder seat: Startup is $19 a month annually ($29 monthly), with Conversation Intelligence and Revenue Intelligence add-ons at $29 each per seat on annual billing. Viewers are free; there is a 14-day trial but no free plan.
Best AI tools for call coaching and roleplay
Gong: the enterprise standard for call and deal AI
Gong records calls, analyses them for coaching, and scores deals and forecasts from the same data. It is quote-only: a per-user license plus a platform fee. Vendr’s buyer data puts the median contract at $55,333 a year across 1,141 purchases, and Vendr estimates $1,200 to $2,400 per seat a year. There is no free plan. Gong makes sense when managers coach from calls across a team of roughly 20 reps or more.
Hyperbound: practise against an AI buyer
Hyperbound runs AI roleplays so reps can rehearse cold calls, discovery and objections before live calls, then checks real calls to see whether behaviour changed. It has a free plan; the Practice and Perform enterprise tiers are quote-only. Vendr shows a median of $12,000 a year for its paid contracts.
Jiminny: conversation intelligence for mid-size teams
Jiminny combines an AI notetaker, call coaching and automatic CRM logging. Pricing is quote-only with a 14-day trial and no card required. Vendr lists a median of $27,000 a year. For the full category, see conversation intelligence software.
Best AI tools for sales forecasting
Forecasting tools read CRM, email and call activity to judge deal health, so they need clean data and a team big enough for patterns to show. All three below are quote-only:
- Clari Forecast: Clari merged with Salesloft in December 2025 and now sells under the Salesloft brand, with only Clari Forecast keeping the Clari name. Vendr shows a median of $76,000 a year across 291 purchases. Our Outreach vs Salesloft comparison covers the merged platform.
- Backstory: People.ai rebranded as Backstory in April 2026. Its AI analyses meeting transcripts, emails and CRM data for forecasting and risk alerts, and it prices by connected customer-facing employees plus answer consumption. Vendr lists a median of $24,480 a year.
- Terret: BoostUp rebranded as Terret in September 2025 and sells Terret Forecast alongside AI revenue agents. No public price.
Best AI tools for CRM hygiene
Bad CRM data breaks every other AI tool on this list, which is why this group is growing fastest:
- Momentum summarises calls, drafts follow-ups and writes fields back to the CRM (“put CRM hygiene on autopilot”). Business is $69 per user a month and Transformation $99; conversation intelligence is a $30 add-on. There is no free plan.
- Scratchpad updates Salesforce fields from customer conversations and records calls. It has a free plan; Solo is $19 per user a month billed yearly ($24 monthly) with 400 AI credits, and Team is $49 ($62 monthly).
- Attention automates follow-ups, next steps, CRM filling and coaching scorecards. It is quote-only; Vendr shows a median of $22,510 a year.
Does your CRM already include AI?
Before adding a point tool, check what you already pay for. All three major SMB and mid-market CRMs now bundle AI:
| CRM | What the AI does | How it is priced (checked September 2026) |
|---|---|---|
| HubSpot Sales Hub | Breeze Assistant plus agents in “Agent Hub”, including a Prospecting Agent that monitors buying signals and launches outreach | Starter $7 per seat a month annual ($20 monthly) with 500 HubSpot Credits; Pro 3,000 credits; Enterprise 5,000; extra credits $0.01 each |
| Salesforce | Agentforce for Sales: prospecting, sales emails, account research, pipeline management | Add-on from $125 per user a month on Core and Advanced; included in Max ($550 per user a month, annual) |
| Pipedrive | AI report creation, AI email writing and summaries, meeting intelligence | Included in plans from $14 per seat a month billed annually |
If you are on HubSpot or Pipedrive, try the built-in AI for a month before buying a separate email writer. Full edition details are in our HubSpot pricing, Salesforce pricing and Pipedrive pricing guides.
Which AI tool is best for sales?
It depends on where your reps lose the most time. A simple rule:
- Reps spend hours on notes and CRM updates: start with Fathom or Fireflies (free), then Momentum or Scratchpad if CRM data is still patchy.
- Outbound replies are low: Lavender for coaching, or the AI writer in your sequencer.
- Research is slow or shallow: Apollo if you also need contact data; Clay if you have someone who can build workflows (see what is GTM engineering).
- New reps ramp slowly: Hyperbound for practice, Gong or Jiminny for coaching from real calls.
- Leadership cannot trust the forecast: Clari Forecast or Backstory, but only once activity is being captured reliably.
How much do AI sales tools cost?
Three pricing models dominate:
- Per seat, published: writing and notes tools cost roughly $10 to $70 per user a month (Fireflies Pro $10, Lavender Starter $27, Fathom Business $25, Momentum Business $69, all vendor-published).
- Credits: Apollo, Clay, HubSpot and Scratchpad meter AI usage in credits, so cost follows volume. HubSpot, for example, charges $0.01 per extra credit.
- Quote-only annual contracts: coaching and forecasting platforms. Public medians from Vendr run from about $12,000 a year (Hyperbound) to $76,000 (Clari).
For a 5-rep team, a free notetaker plus a writing coach can cost well under $200 a month. A 20-rep team adding Gong-class coaching and forecasting should budget for a five-figure annual contract.
AI sales tools vs AI SDR agents: what is the difference?
AI sales tools assist a person: the rep still decides who to contact, what to send and what to say on the call. AI SDR agents try to run the top of the funnel themselves: finding leads, writing and sending sequences, and handling first replies. Agents usually cost more, need tighter guardrails on brand and deliverability, and are judged on meetings booked. Most teams get value from assistive AI first, and only then test an agent on a narrow segment.
How to choose an AI sales tool
- Start with one workflow step. Pick the step that costs reps the most hours and measure it before and after.
- Check CRM write-back. Notes that never reach Salesforce or HubSpot help one rep, not the forecast.
- Read the credit rules. Ask what one AI action costs and what happens when credits run out mid-month.
- Check consent and recording rules. Call recorders need a clear consent process, especially across states and countries with all-party consent.
- Avoid overlap. Many tools now do notes plus follow-up plus CRM sync. Two of them in one stack usually means paying twice.

Frequently asked questions
What is the best free AI tool for sales?
Fathom is the strongest free option for most reps: unlimited recordings, transcripts and AI summaries at $0. Fireflies.ai, Sybill, Scratchpad, Lavender and Apollo also have free plans, each with tighter limits on AI use.
Can AI replace salespeople?
Not for most B2B sales. AI handles research, notes, first drafts and CRM updates well. Discovery, negotiation and multi-stakeholder deals still need a person, which is why assistive tools are growing faster than fully autonomous ones.
How much does Gong cost?
Gong is quote-only, priced per user plus a platform fee. Vendr’s buyer data shows a median contract of $55,333 a year, with a range from about $11,474 to $203,173.
Is ChatGPT enough for sales emails?
For occasional drafts, yes. Dedicated tools add what a general chatbot lacks: your prospect data, your past reply rates, sequence sending and CRM logging. Lavender and Regie.ai, for example, score or write inside the inbox and sequence you already use.
What happened to Clari and People.ai?
- Clari merged with Salesloft (closed December 2025); the forecasting product is now Clari Forecast inside Salesloft.
- People.ai rebranded as Backstory in April 2026.
- BoostUp became Terret in September 2025.
Do AI sales tools work with Salesforce and HubSpot?
Most do, but depth varies by plan. Fathom’s CRM field sync, Sybill’s CRM autofill and Scratchpad’s field updates all sit on paid tiers, so check the plan before assuming notes will reach your CRM.
Are AI SDR tools the same as AI sales tools?
No. AI SDR tools are autonomous agents that prospect and send outreach on their own. See our separate guide to AI SDR tools for pricing and risks.
