The short answer: Freshservice is the faster, simpler route to a modern IT service desk: clean interface, quick setup and strong built-in AI, with more advanced features unlocked by higher plans. HaloITSM is the more configurable platform: nearly every workflow, form, SLA and portal element can be changed through settings, it covers the full ITIL process set, and it can be hosted in the cloud or on-premises. Teams that want to be live quickly with sensible defaults tend to prefer Freshservice. Teams that have outgrown their defaults, need on-premises hosting or want tight process control without custom code tend to move to HaloITSM.

This comparison is for IT managers and service desk leads evaluating both tools, and for teams planning a migration from Freshservice to HaloITSM. It covers features, ITIL coverage, assets, automation, deployment, pricing models and a step-by-step migration plan. We do not quote prices because both vendors update them regularly; we explain how each prices and link their pages so you can check current pricing.

Is HaloITSM better than Freshservice?

Neither is better in general; they suit different teams. Freshservice wins on time to value and ease of use. Its admin screens guide you towards a standard setup, its agent workspace is clean, and Freddy AI features are well integrated. HaloITSM wins on flexibility and process depth. If your service desk has unusual approval chains, many ticket types, several departments on one platform or strict hosting requirements, Halo’s configuration model usually fits with less compromise.

The question to ask is not “which has more features” but “how far from the defaults do we need to go?”. The further you need to go, the stronger HaloITSM’s case.

Features compared

Incident and service request management

Both tools handle incidents and requests well, with SLAs, escalations, assignment rules and a self-service portal. Freshservice separates incidents and service requests clearly and offers a polished service catalog with approval flows. HaloITSM lets you create as many ticket types as you need, each with its own fields, workflow, SLA and portal form, which is useful when one platform serves IT, HR and facilities.

Problem, change and release management

Both support problem, change and release management with approvals and links to incidents. Freshservice includes a change calendar and change advisory board style approvals on the plans that include change management. HaloITSM’s change module is fully configurable, including risk questions, approval stages and automated standard changes. For the ITIL background, see what is ITSM.

Assets and CMDB

Freshservice includes asset management and a CMDB with discovery. Freshworks also sells IT asset management as a separate product line priced by asset units, so large estates need to budget for it. HaloITSM includes a CMDB and asset management within the platform, with relationships that link assets to users, contracts and services. If assets are central to your decision, also read our guide to IT asset management software.

Automation and workflows

Freshservice’s workflow automator uses a visual builder for event-triggered rules, approvals and integrations. It is approachable for most admins. HaloITSM uses a workflow designer plus extensive rule settings; almost every behaviour can be adjusted, but that means more design work at the start.

AI

Freshservice has invested heavily in Freddy AI, with ticket summaries, reply suggestions and an employee-facing virtual agent. Some Freddy capabilities are add-ons on certain plans, so check what is included. HaloITSM also offers AI-assisted features; confirm the current scope with Halo during your trial, as vendors are updating AI features frequently. For more on AI in IT operations, see AIOps tools.

Portal and employee experience

Freshservice’s portal is clean and works well out of the box, with Microsoft Teams and Slack channels for raising requests. HaloITSM’s portal is highly customisable, including different portals for different audiences, and also supports chat and Teams integration.

Reporting

Both include dashboards and SLA reporting. HaloITSM’s reporting engine lets admins build custom SQL-style reports within the tool, which appeals to teams with specific reporting needs. Freshservice offers analytics with pre-built and custom reports that suit most mid-market teams.

Integrations

Both integrate with common identity providers, Microsoft 365, Teams, Slack, Jira, endpoint management and monitoring tools, and both offer APIs. Freshservice has a larger marketplace of prebuilt apps. HaloITSM leans on its API and built-in integration modules. List your must-have integrations and test each during the trial.

Deployment, hosting and data residency

This is often the deciding factor for European organisations. Freshservice is cloud-only. HaloITSM can be hosted by Halo in the cloud or installed on-premises in your own environment. If you operate in the EU, including France, Belgium or Luxembourg, confirm the hosting region for either vendor, check the data processing agreement for GDPR, and ask where support staff and sub-processors are located. Put the hosting region in the contract.

Freshservice vs HaloITSM pricing models

Both vendors charge per agent, meaning IT staff who work tickets. Employees who raise tickets are not charged.

  • Freshservice uses tiered plans billed per agent, with problem, change, release, advanced asset management and some AI features on higher tiers. Some AI capabilities are add-ons, and large asset estates may need the separate ITAM product. Check current pricing on Freshworks’ pricing page or our Freshservice pricing page.
  • HaloITSM prices per agent. Ask Halo what is included in the base licence, how on-premises licensing differs from cloud, and whether any modules are extra. See our HaloITSM pricing page.

When comparing, price the plan that includes every process you need, not the entry plan, and include implementation and admin time over three years.

How to migrate from Freshservice to HaloITSM

Many teams evaluating these two tools are planning a move from Freshservice to HaloITSM. A clean migration is mostly planning. Use this checklist.

1. Plan and scope

  • Decide what moves: open tickets only, or history as well (and how many years).
  • Inventory Freshservice configuration: ticket forms and custom fields, categories, groups, agent roles, SLA policies, business hours, workflow automator rules, approval flows, service catalog items, canned responses and email templates.
  • Inventory integrations and API consumers that will need repointing.
  • Agree a cutover date, freeze window and rollback plan.

2. Design in HaloITSM, do not copy

  • Map Freshservice ticket types (incident, service request, problem, change, release) to Halo ticket types.
  • Rebuild workflows and SLAs in Halo’s model. A migration is the best time to remove rules nobody understands.
  • Recreate the service catalog, starting with the most-used items.
  • Set up roles and permissions, teams and agent access.

3. Data mapping

Freshservice data Moves to HaloITSM as Watch for
Requesters and agents Users and agents Match by email; sync from your identity provider where possible
Departments and locations Sites, departments or customer structure Decide the hierarchy before import
Tickets (incidents and requests) Tickets of the mapped type Status and priority mapping, original created dates, attachments, private notes
Problems, changes, releases Matching ticket types Links between records, approval history
Assets and CMDB Assets and configuration items Asset types, custom fields, relationships, owners
Knowledge base Knowledge base articles Images, internal links, article permissions
Service catalog Catalog items and request forms Usually rebuilt, not imported
SLA policies SLAs and working hours Rebuilt; historical SLA timers rarely migrate cleanly

4. Extract and load

  • Export data through the Freshservice API or exports, or use a migration service or Halo’s onboarding team.
  • Run at least one full trial migration into a test Halo instance and have agents check a sample of tickets, assets and articles.
  • Fix mapping issues, then repeat until the sample is clean.

5. Cutover

  • Announce the change to employees with the new portal link and email address.
  • Freeze configuration changes in Freshservice.
  • Run the final delta migration of tickets changed since the trial.
  • Switch email forwarding, chat integrations and portal links to Halo.
  • Keep Freshservice read-only for a defined period for reference, then export an archive before the subscription ends.

6. After go-live

  • Watch SLA breaches, unassigned tickets and email loops daily for the first two weeks.
  • Collect agent feedback and adjust forms and workflows.
  • Compare mean time to resolve, backlog and satisfaction against your Freshservice baseline.
