Quick answer: For high-volume cold email, Instantly (from $47/month) and Smartlead (from $39/month) are the strongest picks because both let you connect and warm up unlimited mailboxes on one subscription. lemlist suits teams that want email plus LinkedIn and calls in one sequence. Apollo is the pick if you also need the contact data. Saleshandy bundles sending and lead credits cheaply, Woodpecker charges per prospect contacted, and Reply.io and Mailshake add calling. Whatever you pick, Gmail, Yahoo and Outlook now reject or junk bulk mail that fails SPF, DKIM and DMARC, so set those up before you send a single campaign. Prices are vendor-published, checked September 2026.
Cold email software does three jobs: it sends personalised sequences from your own mailboxes, it protects those mailboxes’ sender reputation, and it collects the replies. The first job is easy. The second is where tools differ, and since 2024 it is also where most campaigns fail, because the big mailbox providers started enforcing authentication and spam-rate rules on bulk senders.
So this guide starts with how deliverability works now, then compares eight tools on the things that decide inbox placement and cost: how many mailboxes you can connect, whether warmup is included, whether sending rotates across inboxes, and what you pay at your volume.
How Cold Email Deliverability Works in 2026
Every tool on this list sends through mailboxes you own (Google Workspace, Microsoft 365 or SMTP). None of them can get a badly configured domain into the inbox. These are the mechanics that matter, in the order you should set them up.
1. SPF, DKIM and DMARC on every sending domain
SPF lists the servers allowed to send for your domain. DKIM signs each message so the receiver can check it was not altered. DMARC tells receivers what to do when a message fails those checks, and it requires the visible From domain to align with the SPF or DKIM domain. Google requires a DKIM key of at least 1024 bits and recommends 2048.
2. The Google, Yahoo and Microsoft bulk sender rules
Google and Yahoo began enforcing new sender requirements in February 2024. Microsoft followed for Outlook.com in May 2025. Here is what each provider says on its own pages:
| Rule | Gmail (Google) | Yahoo | Outlook.com (Microsoft) |
|---|---|---|---|
| Who counts as a bulk sender | “Close to 5,000 messages or more to personal Gmail accounts within a 24-hour period”, counted across the primary domain. Once you qualify, the status is permanent. | “A significant volume of mail”. Yahoo says it “will not specify a volume threshold.” | Domains sending more than 5,000 emails per day to Outlook.com, Hotmail and Live addresses |
| Authentication | SPF and DKIM, plus DMARC (policy can be p=none), with From-domain alignment | SPF and DKIM, plus a valid DMARC policy of at least p=none that passes | SPF and DKIM must pass; DMARC at least p=none, aligned with SPF or DKIM |
| Spam complaint rate | Keep it below 0.10% in Postmaster Tools and never reach 0.30% | Keep it below 0.3% | No percentage published |
| Unsubscribe | One-click unsubscribe (RFC 8058 headers) for marketing and subscribed messages, plus a visible link; Google recommends honouring requests within 48 hours | One-click list-unsubscribe header (RFC 8058 POST method “highly recommended”); honour unsubscribes within 2 days | Functional unsubscribe link recommended |
| What happens if you fail | Since November 2025, Gmail is “ramping up its enforcement” with “temporary and permanent rejections” | Gradual enforcement since 2024 | Rejection with error 550 5.7.515 since May 5, 2025 |
Sources: Google’s email sender guidelines and sender guidelines FAQ, Yahoo’s sender best practices, and Microsoft’s Outlook high-volume sender requirements. All checked September 2026.
Two practical consequences for cold outreach. First, the 5,000-a-day threshold is counted per primary domain, which is why teams send from several secondary domains with a few mailboxes each. Second, the 0.10% spam-rate target is Google’s, and it is tight: with cold lists, a handful of “report spam” clicks on a small send can push you over. Low daily volume per mailbox and well-targeted lists matter more than any tool feature.
3. Warmup
Warmup gradually raises a new mailbox’s sending volume by exchanging messages with a pool of other mailboxes that open, reply to and rescue each other’s emails from spam. It builds a sending history before real prospects see your mail. Most tools below include it; the differences are how many mailboxes you can warm and how large the pool is.
4. Inbox rotation
Inbox rotation spreads one campaign across many connected mailboxes so no single inbox sends too much. Smartlead, for example, says it “automatically rotates sending across all connected mailboxes within a campaign.” This is why unlimited-mailbox pricing matters: if a tool charges per inbox, rotation gets expensive fast.

The 8 Best Cold Email Tools, Reviewed
1. Instantly: best for high-volume sending on a flat fee
Instantly built its pricing around one idea: connect and warm up as many mailboxes as you like, and pay for contacts and email volume. Its FAQ answers the unlimited question directly: “You can connect and warm as many accounts as you need from any provider.”
- Outreach plans: Growth $47/month ($37.60 billed annually) for 1,000 uploaded contacts and 5,000 emails a month; Hypergrowth $97/month ($77.60 annually) for 25,000 contacts and 100,000 to 125,000 emails a month (Instantly’s pricing page and help centre give different figures); Light Speed $358/month ($286.30 annually) for 100,000 contacts and 500,000 emails.
- Bundles with lead data: Starter $94/month, Scale $194/month and Agency $555/month, each adding a monthly block of Instantly credits for its SuperSearch B2B database.
- Watch for: webhooks and the Unibox reply inbox for teams need Hypergrowth or above. Our Instantly pricing guide works through the credit costs.
We run live outbound through Instantly ourselves; our full Instantly.ai review covers the API, sequence timing and credit maths in detail.
2. Smartlead: best for agencies
Smartlead also includes unlimited mailboxes on every plan and rotates sending across them automatically. Its extra layer is agency tooling: client workspaces from Pro upward and white-labelling at $29 per client workspace per month.
- Plans: Base $39/month (2,000 contacts, 6,000 emails), Pro $94/month (30,000 contacts, 90,000 emails), Unlimited Smart $174/month (unlimited contacts, 150,000 emails) and Unlimited Prime $379/month (500,000 emails, private “SmartServers” infrastructure). Smartlead says annual billing “saves 17% across all plans.”
- Watch for: API and webhooks are only on Unlimited Smart and Prime, so integrating teams start at $174/month. Full breakdown: Smartlead pricing.
3. lemlist: best for email plus LinkedIn and calls
lemlist simplified its range to two self-serve plans. The Email plan is $69/month ($55 billed yearly) as a flat team price with unlimited users and email senders. Multichannel is $109 per user per month ($87 yearly) and adds LinkedIn automation, SMS, a built-in dialer and WhatsApp as an add-on. lemlist’s FAQ says “lemwarm and built-in deliverability protections are included in all plans”, and inbox rotation appears in its plan comparison.
Contact data is now a separate paid add-on (enrichment from $20/month), charged only for successful results. Our lemlist review explains how that credit meter works.
4. Apollo.io: best when you need the data too
Apollo.io is a B2B database with sequencing, a dialer and deal tracking attached. The free plan includes 900 credits per seat per year and two sequences. Paid tiers cost $49, $79 and $119 per seat per month billed annually, with credit allowances of 30,000, 48,000 and 72,000 per seat per year; the top tier needs at least three seats. The two higher tiers allow unlimited Google and Microsoft mailboxes per user, and email warmup comes with the paid plans.
Apollo is the only tool here where you can find, verify and email a prospect without leaving the product. The trade-off is that its sending controls are simpler than Instantly’s or Smartlead’s. See our Apollo.io review and Apollo vs ZoomInfo for the data side.
5. Reply.io: best for multichannel with an AI SDR option
Reply.io prices by active contacts, which it defines as the unique people who get a first-step email in a month, with unlimited follow-ups. Email Volume starts from $59 with unlimited mailboxes under a fair-use policy. Multichannel starts from $99 per user and includes five mailboxes, one LinkedIn account and calls and SMS. Its “Jason” AI SDR plan starts from $500 on an annual commitment. Reply lists inbox rotation and ESP matching among its deliverability features and offers a 14-day trial.
6. Woodpecker: best for paying per prospect
Woodpecker has no named plans. You pick how many prospects you will contact each month, and the price follows; at the 500-prospect entry tier that works out to about $35/month on monthly billing, and annual billing saves 33%. Unlimited team members, unlimited email accounts and email verification are included. Two catches: warmup is included but capped by tier (two warmups at 500 prospects, extra ones $5 each per month), and API, webhooks and integrations are a $20/month add-on. The same prospect in five campaigns counts five times.
7. Saleshandy: best budget option with lead credits
Saleshandy puts sending and B2B data on one ladder. Starter is $41/month ($34 annually) with 2,000 active prospects, 6,000 emails and 1,500 lead-finder credits a month. Pro is $99 ($76 annually) with 10 users and 100,000 emails; Scale is $189 ($149 annually) with unlimited users. Every plan includes unlimited mailboxes and warmup, and Saleshandy defines its credits plainly: “1 credit reveals a verified email; 6 reveal a phone number.” The trial is short: 7 days, capped at 100 emails.
8. Mailshake: best for small teams that also call
Mailshake is billed per user. Starter is $29/month ($25 yearly) with one sending address and 1,500 sends a month. Email Outreach is $49 ($45 yearly) with two addresses, unlimited sends and email rotation. Sales Engagement is $99 ($85 yearly) with ten addresses, a power dialer and unlimited dialer minutes to North American numbers. There is no free trial: Mailshake’s FAQ says “we collect payment up front.”
What Is the Best Tool for Email Outreach?
It depends on your bottleneck:
- If your constraint is volume and deliverability, pick Instantly or Smartlead. Unlimited mailboxes plus rotation is the cheapest way to spread sending thin across many domains.
- If your constraint is finding contacts, pick Apollo, or Saleshandy on a tighter budget, so data and sending live in one place. Our guide to AI SDR tools covers the tools that also write and send for you.
- If replies come from more than email, pick lemlist, Reply.io or a full sales engagement platform that sequences calls and LinkedIn steps alongside email.
Cold Email Software vs Email Marketing Software
Mailchimp-style email marketing tools send one campaign from your company’s domain to an opted-in list through the vendor’s shared servers. Cold email tools send one-to-one messages from individual mailboxes to people who have not opted in, with follow-ups that stop when someone replies. Using a newsletter tool for cold outreach usually breaks its terms of service and damages the shared sending reputation, which is why the two categories stay separate. If you need newsletters, see our email marketing software category.
Is Cold Email Still Effective in 2026?
Yes, for teams that treat deliverability as a system. The 2024 and 2025 rule changes did not ban cold email; they made it expensive to be careless. Sending from authenticated secondary domains, keeping volume per mailbox low, verifying addresses before sending and keeping complaints under Google’s 0.10% target all raise the share of mail that lands in the inbox. Reply rates vary too much by list and offer for any single benchmark to be useful, so track your own reply and positive-reply rates per campaign.
Are Cold Emails Legal?
In the US, yes, if they follow the CAN-SPAM Act. The FTC’s compliance guide says the law “makes no exception for business-to-business email.” The main rules: accurate header and From information, a subject line that reflects the content, your valid physical postal address, a clear way to opt out, and honouring opt-outs “within 10 business days.” The FTC puts penalties at up to $53,088 per violating email. Canada’s CASL and the EU’s GDPR set stricter consent and data rules, so check them before emailing prospects there. This is general information, not legal advice.
How to Choose Cold Email Software
- Estimate your monthly volume and contacts. Most plans cap uploaded contacts and emails; price the tier you will actually need in month three, not month one.
- Count mailboxes. If you plan to rotate across ten or more inboxes, favour tools with unlimited mailboxes (Instantly, Smartlead, Saleshandy, Woodpecker).
- Decide where data comes from. If you already buy contacts elsewhere, skip bundled credits. If not, compare credit costs per verified email.
- Check API and webhook tiers. They often sit one plan above the entry price.
- Run a real trial. Warm two mailboxes, send to a small verified list, and check placement before committing to annual billing.

Frequently Asked Questions
What is the best cold email software in 2026?
For pure sending volume, Instantly and Smartlead, because both include unlimited mailboxes and warmup. For a tool that also finds contacts, Apollo.io. For email plus LinkedIn and calls in one sequence, lemlist.
Is there free cold email software?
Apollo.io has a free plan with 900 credits per seat per year and two sequences. The dedicated senders (Instantly, Smartlead, Saleshandy, Woodpecker, Reply.io) offer free trials but no permanent free plan, and Mailshake has neither.
How many emails can I send per day from one mailbox?
None of the mailbox providers publishes a safe cold-email number. What they do publish are the bulk rules: Google treats a primary domain sending close to 5,000 messages a day to personal Gmail accounts as a bulk sender, with stricter requirements. Most teams keep each mailbox low and add mailboxes instead.
Do I need DMARC for cold email?
Yes, in practice. Google and Yahoo require DMARC for bulk senders, and Microsoft requires it for domains sending over 5,000 emails a day to Outlook.com. A policy of p=none satisfies all three, as long as the From domain aligns with SPF or DKIM.
What is email warmup and do I still need it?
Warmup builds a new mailbox’s sending history by exchanging mail with a pool of other inboxes before you contact prospects. It helps new domains, but it cannot fix missing authentication or a high complaint rate.
Instantly or Smartlead: which is cheaper?
At entry level, Smartlead: $39 a month against Instantly’s $47. At the next tier they are close ($94 against $97). The bigger difference is API access, which Instantly includes on every paid outreach plan and Smartlead reserves for its $174 plan and up.
Can I use Gmail for cold email?
You can connect Google Workspace mailboxes to every tool on this list. Sending cold volume from your main company domain is risky, so most teams use separate secondary domains with authenticated mailboxes.
