Apollo publishes every self-serve price on its pricing page, which is unusual in this category. The table below shows both billing options. Annual billing saves about 24% (Apollo’s own figure) and hands you the full year of credits on day one.

What Changes Between Apollo’s Plans

The price jumps are driven by sending limits, automation and admin features, not just credits. The differences that matter most in day-to-day use:

  • Record selection limit. How many new records you can select from the database at once: 25 on Free, 1,000 on Basic, 2,500 on Professional and 10,000 on Organization. Apollo’s FAQ explains that with a 25-record limit, saving 10,000 leads takes 400 separate selections.
  • Daily email sends. Free and Basic cap sending at 250 emails a day. Professional and Organization are listed as unlimited.
  • Mailboxes. Free and Basic allow one mailbox per user. Professional adds unlimited Google and Microsoft mailboxes plus 5 SMTP mailboxes per user; Organization raises SMTP to 15.
  • Sequences and testing. Free is limited to 2 sequences per team. Basic has unlimited sequences; Professional and Organization add A/Z testing.
  • Automated workflows. 2 per team on Free, 5 on Basic, 50 on Professional and 500 on Organization.
  • Call recording. 150 minutes on Free and Basic, 4,000 minutes with AI insights on Professional, 8,000 on Organization.
  • Intent and admin. Free has 1 intent topic, Basic and Professional have 6, Organization has 12. SSO, customizable dashboards and the option to use your own LLM API key are Organization only.

For most outbound teams the real decision is Basic versus Professional. Basic’s 250-a-day sending cap is the limit people hit first; if your reps send more than that from Apollo, you are on Professional.

What Does an Apollo Credit Buy?

Apollo credits are the currency for pulling contact data. The pricing page lists the rates:

Vendor-published, checked September 2026. The 8-to-1 ratio between phones and emails is the single biggest driver of an Apollo bill. A team that only emails will rarely run out of credits on Basic; a team that calls everyone will.

What extra Apollo credits cost

You can buy add-on credits from inside the app. Apollo’s pricing page lists these rates, and the credits are shared across your team:

What 1,000 Contacts a Month Costs on Apollo

Here is a worked example for one seat that pulls 1,000 new contacts a month, using only the published numbers above. It assumes every reveal returns data; if some contacts have no phone on file, your spend is lower.

The takeaway: at 1,000 contacts a month, Apollo is cheap if you mostly email and gets four times more expensive if you want a phone number for every lead. Be deliberate about when you reveal phones. Many teams only pull numbers for contacts who opened or replied.

The free plan does not stretch that far. Its 75 credits a month cover 75 emails, or 9 phone numbers.

Apollo Add-Ons and Other Costs

The seat price is not the whole bill if you need inbound or calling features. Apollo lists two add-on bundles, each priced per team, not per seat:

  • Inbound: $119 per team per month billed annually ($149 on monthly billing). Company-level website visitor identification (up to 50,000 companies a month), domain tracking for up to 100 domains, form enrichment for 5,000 contacts a month (credit usage applies), a form builder and US-only contact-level visitor identification (up to 10,000 contacts a month).
  • Advanced Dialer: from $119 per team per month billed annually. International calling, a parallel dialer, a power dialer and local presence numbers. Dialer minutes still consume credits.

Both add-ons require a paid plan first and are added in-app. Apollo also notes the add-on pricing is introductory, so features and prices “may change”.

Hidden Costs and Contract Terms to Check

Apollo’s terms are friendlier than most data vendors, but read these lines before you buy:

  • Annual means annual. Apollo’s FAQ says cancellations take effect at the end of your current term, and refunds are not processed for downgrades mid-term. If you prepay a year, you are paying for the year.
  • Organization has a seat minimum. Three seats at $119 is $357 a month, or $4,284 a year, before add-ons.
  • Credit overage. There is no automatic overage charge listed; you buy add-on credit packs. Budget for them if you reveal phones at volume.
  • Legacy credit system. Apollo says some existing customers are still on an older credit system and may not see every feature listed. New customers are placed on the current system automatically.
  • Internal use only. The self-serve plans do not allow reselling Apollo data or using it to power a product for your own customers. That needs a separate agreement with custom pricing.
  • Tax. Listed prices exclude applicable taxes.

Is There a Free Version of Apollo.io?

Yes. The Free plan costs $0 and includes 75 credits per seat per month, 2 sequences, basic filters, the Chrome, Gmail and Salesforce extensions, 20 website visitor company reveals a month and 150 minutes of call recording. You can only connect Gmail mailboxes on non-paying plans. Paid plans also come with a 14-day trial that includes 100 credits and “almost all” features of the plan you pick; when it ends you either pay or drop to the free plan.

Is Apollo.io Worth the Money?

For small teams that email more than they call, Apollo is one of the cheapest ways to get a B2B database, sequencing and a dialer in one place. The published pricing and self-serve checkout mean you can start without a sales call, which you cannot do with ZoomInfo.

It gets less attractive when phone data is central to your motion, because 8 credits per number adds up quickly, or when you need deep coverage in a narrow market where a specialist provider has better data. Test with the free plan against your own target list before committing to annual billing.

  1. Count your phone reveals first. Multiply the phone numbers you need each month by 8. That number, not seat count, decides whether Basic is enough.
  2. Check your daily sending volume. Over 250 emails a day per rep means Professional.
  3. Buy seats for senders, not viewers. Credits are per seat on the plan, and add-on packs are shared across the team, so one extra pack can be cheaper than an extra seat.
  4. Only go annual after a month of real usage. Monthly billing costs more per seat but avoids prepaying a year you cannot cancel.
  5. Organization only for admin needs. SSO, custom reports and 12 intent topics are the reasons to pay $119; if you do not need them, Professional does the outbound work.
