Quick answer: QuickBooks Online is the safer pick for US businesses that want built-in inventory on Plus, class and location tracking, and payroll from the same vendor. Xero is the better value for teams that need many users, because it charges no per-user license fees while QuickBooks caps users by plan (1, 3, 5 or 25). Xero is also cheaper at every tier: from October 1, 2026 its US plans cost $27, $59 and $97 a month, against $38, $85, $140 and $340 for QuickBooks Online. Both products do the core job of small business accounting well: bank feeds, invoicing, bills, reconciliation, sales tax and standard reports. The real differences sit in four places: how each vendor prices users, which plan unlocks multi-currency and projects, how payroll is bolted on, and how much each costs once your business grows past the entry tier. Which Is Cheaper, Xero or QuickBooks?

Xero is cheaper at every comparable tier. After its October 1, 2026 increase, Xero’s top US plan costs $97 a month, less than the $140 QuickBooks charges for Plus. The gap widens with headcount: QuickBooks caps users per plan, so a six-person finance team is pushed to Advanced at $340, while Xero charges the same plan price regardless of users.

Here is how the monthly list prices line up by the kind of business that usually picks each tier.

Two caveats keep this from being a clean win for Xero. First, Xero’s Early plan is tightly capped at 20 invoices and 5 bills, so most businesses with regular billing will land on Growing, not Early. Second, QuickBooks Solopreneur at $20 a month is cheaper than any Xero plan for a one-person business that mostly needs invoicing, mileage and income tracking, although it is limited to one user and has no accountant access. What changes for Xero on October 1, 2026?

Xero announced that US subscription prices rise from October 1, 2026 for both new and existing subscribers. Early goes from $25 to $27, Growing from $55 to $59 and Established from $90 to $97 a month. Xero’s update page also says its multi-organization discount is being phased out from the same date, which matters to bookkeepers and owners who run several entities. How Do Xero and QuickBooks Handle Users?

This is the single biggest structural difference. Xero states there are “no per-user license fees”, so every plan lets you invite your team, bookkeeper and accountant without upgrading. QuickBooks Online ties users to the plan: Simple Start includes 1 user, Essentials 3, Plus 5 and Advanced 25. Accountant access is counted separately from those seats.

In practice, this means a small business with an owner, an office manager, a part-time bookkeeper and a sales lead who approves invoices already needs QuickBooks Essentials (3 users) plus one more seat, which forces Plus. The same team can sit on Xero Growing. If your business expects to add people who need to view or approve transactions, model the user count before you model features.

The reverse case also exists. If only the owner and an outside accountant ever log in, the user cap on QuickBooks does not bite, and the decision comes down to features and bookkeeper preference.

What Do You Get on Each Plan?

Xero splits its plans by volume and advanced tools; QuickBooks splits by users and operational features. Xero’s Early plan limits invoices and bills, Growing removes the limits and adds automation, and Established adds multi-currency, projects and expense claims. Which Is Better for Payroll, Xero or QuickBooks?

QuickBooks is the tighter payroll fit because payroll is Intuit’s own product and sits in the same account. Xero’s US payroll is Xero Payroll powered by Gusto, priced at $36 a month plus $6 per employee or contractor. QuickBooks Workforce Payroll costs $50 a month plus $7 per employee when added to an existing QuickBooks Online plan.

On price alone, Xero’s payroll option is cheaper at every headcount. For a 10-person team, Xero Payroll comes to $96 a month ($36 + 10 × $6), while QuickBooks Workforce Payroll comes to $120 ($50 + 10 × $7). QuickBooks sells two higher payroll tiers as add-ons: Workforce Premium at $88 + $13 per employee and Workforce Elite at $134 + $17 per employee. Intuit has renamed its payroll line to “QuickBooks Workforce”, so older guides that refer to Core, Premium and Elite describe the previous naming.

Points to check before you decide:

  • Xero states that Xero Payroll powered by Gusto is not available to Xero’s US mobile subscribers.

Which Handles Inventory, Projects and Multiple Currencies Better?

QuickBooks is stronger for inventory and location tracking; Xero is cheaper for multi-currency and projects. QuickBooks includes inventory on Plus and Advanced and tracks up to 40 classes and locations on Plus. Xero puts multi-currency, project costing and expense claims on Established at $97 a month, which is $43 less than QuickBooks Plus.

Inventory

QuickBooks lists inventory as part of Plus and Advanced. Xero sells inventory through Inventory Plus, shown as optional on Growing and Established. Xero did not publish an Inventory Plus price on its pricing page when we checked, so ask for it before comparing total cost. If you manage assemblies or several warehouses, test either product’s inventory tools against your real item list before committing.

Projects and job costing

Service firms and contractors who need to see profit per job will find project tracking on Xero Established and on QuickBooks Plus and Advanced. Advanced adds what Intuit calls advanced project financials.

Multiple currencies

If you invoice overseas clients or pay overseas suppliers, Xero Established includes multiple currencies and international bill pay. Xero’s two lower plans do not. QuickBooks’ US pricing page did not list multi-currency against any plan when we checked, so confirm availability on your chosen plan with Intuit before you buy.

Classes and locations

QuickBooks Plus tracks up to 40 classes and locations; Advanced removes the limit. This is a strong reason to pick QuickBooks for multi-location retail, franchises or businesses that report by department.

What Are the Disadvantages of Xero?

Xero’s main drawbacks are its capped entry plan, advanced features locked to the top tier, and payroll that runs through a partner. Early allows only 20 invoices and 5 bills. Multi-currency, projects and expense claims all need Established. US payroll is provided by Gusto, and prices rise on October 1, 2026.

  • Early is a starter plan in name only. The 20-invoice cap means most businesses that bill weekly will outgrow it within weeks.
  • Three useful features live only on Established. If you need any one of multi-currency, project costing or expense claims, you pay for all three.
  • Payroll is a partner product. Xero Payroll is powered by Gusto and is not available to US mobile subscribers.
  • Bank feeds can cost extra in some cases. Xero’s FAQ refers to “a chargeable direct bank feed” without publishing the price.
  • Prices are going up. The October 2026 increase and the end of the multi-organization discount narrow the price gap slightly.

Does Your Accountant’s Preference Matter?

Yes, often more than any single feature. If you outsource bookkeeping or tax prep, the person doing that work will be faster in the tool they use every day, and you pay for their time. Ask any accountant you are considering which product they run for most clients before you subscribe to either.

Both vendors build for accountants. Xero says it works with 250,000 accountants and bookkeepers and connects to more than 1,000 apps. QuickBooks gives accountants their own access on paid plans, separate from your user seats. Neither figure tells you which firms near you are strongest in each product, so treat this as local research, not a product feature.

Is QuickBooks Becoming Obsolete?

No. QuickBooks Online is actively sold and updated; what Intuit has retired is new sales of most desktop editions. Intuit stopped selling new subscriptions of QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus to US customers after September 30, 2024. Existing desktop subscribers can keep renewing, and Desktop Enterprise is still sold.

The practical effect: if you are a desktop user comparing Xero and QuickBooks, you are really choosing between two cloud products. Choose Xero if headcount, not transaction volume, drives your costs. Its unlimited-user approach and lower prices suit teams where several people need access, businesses that invoice in foreign currencies, and owners who already use Gusto for payroll or plan to.

  • Businesses with overseas customers or suppliers (on Established).

Who Should Choose QuickBooks?

Choose QuickBooks if you want payroll, inventory and location tracking from one vendor, or if your bookkeeper already runs it. It fits product businesses that track stock on Plus, multi-location operators who report by class, and one-person businesses that can live on Solopreneur at $20 a month.

  • Businesses that want accounting and payroll billed and supported by one company.
  • Retail and product businesses that need inventory without a separate app.
  • Franchises and multi-location operators who report by class or location.
  • Owners whose accountant or bookkeeper works in QuickBooks every day.

How Hard Is It to Switch Between Xero and QuickBooks?

Switching is manageable if you move at a period end and plan for history. Chart of accounts, contacts, open invoices and bills, and opening balances are the essentials. Full transaction history is the hard part, and many businesses keep read access to the old system for a year instead of migrating every line.

A practical sequence for either direction:

  1. Pick a cutover date at a month or quarter end, ideally after you have filed sales tax for the period.
  2. Export and clean your chart of accounts, then map it to the new system’s account types.
  3. Import customers, suppliers and items. Check that sales tax settings came across correctly.
  4. Enter opening balances from a trial balance at the cutover date, and reconcile each bank account to that date.
  5. Recreate open invoices and bills so aging reports match.
  6. Reconnect bank feeds, payment processors and payroll, then run both systems side by side for one month.
  7. Keep a subscription to the old system, at its lowest tier, until your accountant confirms year-end is closed.

Payroll is the piece most likely to cause trouble. Changing payroll providers mid-year affects year-end forms, so if you are moving payroll as well, the cleanest time is at a calendar-year boundary.

For most US small businesses with one or two users who want payroll and accounting from one vendor, QuickBooks Online is the lower-risk choice. For teams with several users, international customers, or a preference for Gusto payroll, Xero delivers the same core accounting for less money. Price out your real situation using the user count and features you need, not the entry-plan headline.
