QuickBooks Online is the better fit once you need inventory, class or location reporting, several finance users, or deeper accounting for a product business. The two products come from different starting points. FreshBooks began as invoicing software for people who sell their time, then added double-entry accounting. QuickBooks Online began as general ledger accounting and added invoicing, payroll and inventory around it. That history still shows in how each is priced and which plan unlocks what. This comparison uses only plan details published on freshbooks.com and quickbooks.intuit.com.

How Much Does FreshBooks Cost Compared With QuickBooks?

FreshBooks is cheaper for small client-service teams; QuickBooks is cheaper for a solo owner on Solopreneur. A three-person agency with 30 clients pays $65 a month on FreshBooks Plus with two added team members, against $85 on QuickBooks Essentials. A one-person business with few clients pays $20 on QuickBooks Solopreneur, below FreshBooks Lite at $23.

Because the two vendors price on different variables, the only honest comparison is by scenario:

How much does FreshBooks cost per year?

At list price, a year of FreshBooks costs $276 on Lite, $516 on Plus and $840 on Premium when paid monthly. FreshBooks advertises an extra 10% off for yearly billing, which brings those to about $248, $464 and $756. Add $132 a year for every team member.

Is FreshBooks Real Accounting Software?

Yes, from the Plus plan up. FreshBooks lists “Run financial and accounting reports” and “Give your accountant access” on Plus, and its plan comparison includes double-entry accounting reports and bank reconciliation. Lite is best treated as invoicing and expense tracking for very small businesses.

What that means in practice: if your accountant will prepare your year-end from your books, budget for FreshBooks Plus at minimum. If you only need to send invoices, track expenses and hand a spreadsheet to your tax preparer, Lite can be enough while you have five or fewer clients.

QuickBooks Online is general ledger accounting on every paid plan, with bill pay by free ACH from Simple Start, employee time on invoices from Essentials, and inventory, project profitability and up to 40 classes and locations on Plus. That extra depth is why product businesses and multi-location operators lean toward it.

Which Is Better for Invoicing and Getting Paid?

FreshBooks, for most service businesses. Its paid plans are built around estimates, proposals, client retainers, time tracking and project profitability, which map directly onto how agencies and consultants bill. QuickBooks handles invoicing well, but it treats invoicing as one module in a broader ledger.

FreshBooks feature placement worth knowing before you choose a plan:

  • Lite: create and send estimates and invoices for up to 5 billable clients.
  • Plus: adds proposals and client retainers, financial and accounting reports, accountant access and expense receipt scanning, for up to 50 billable clients.
  • Premium: adds project profitability, bill receipt scanning with line items and custom email templates, with unlimited billable clients.
  • Select: custom-priced; includes 2 team member accounts at no extra charge, removal of FreshBooks branding, dedicated phone support and lower card fees.

FreshBooks also sells an Advanced Payments add-on at $20 a month. QuickBooks Solopreneur includes unlimited invoices, which makes it a direct competitor to FreshBooks Lite for a one-person business.

How Do Users and Team Members Compare?

FreshBooks lets you add people one at a time; QuickBooks makes you upgrade in blocks. Any FreshBooks plan can add team members at $11 a month each. QuickBooks Online includes 1, 3, 5 or 25 users depending on the plan, so a fourth user on Essentials means moving to Plus at $140.

The FreshBooks model is cheaper for small teams but adds up as headcount grows. At ten team members on Premium, FreshBooks costs $169 a month ($70 + 9 × $11), which is still below QuickBooks Advanced at $340. For a company that needs 25 finance and operations users with advanced reporting, QuickBooks Advanced includes all of those seats in one price.

Which Is Better for Payroll?

FreshBooks payroll is cheaper; QuickBooks payroll is more tightly built in. FreshBooks Payroll, offered through a partnership with Gusto, costs $40 a month plus $6 per person. QuickBooks Workforce Payroll costs $50 a month plus $7 per employee as an add-on to QuickBooks Online.

For a ten-person team, that is $100 a month on FreshBooks against $120 on QuickBooks. QuickBooks has two higher tiers (Workforce Premium at $88 + $13 per employee and Workforce Elite at $134 + $17 per employee) plus discounted accounting-and-payroll bundles. FreshBooks’ help center says FreshBooks Payroll is available to US businesses only (FreshBooks support, checked September 2026).

FreshBooks’ main limits are the billable-client caps, per-person charges for staff, and lighter tools for inventory-heavy businesses. Lite stops at 5 billable clients and Plus at 50. Every extra team member adds $11 a month, and the pricing page does not list inventory tracking, so product sellers usually look elsewhere.

  • Client caps force upgrades. A sixth client moves you from Lite to Plus, nearly doubling the plan price.
  • Accounting reports and accountant access start at Plus. Lite is invoicing-first.
  • Staff costs scale linearly. Fine at three people, less so at fifteen.
  • Payroll is a partner product powered by Gusto and US-only.
  • Offers can mask the real price. The $1-a-month Lite offer runs for one year, and 80% off on Plus and Premium runs for three months. Budget on list price.

What Are the Downsides of QuickBooks?

QuickBooks’ main limits are price and user caps. Its paid plans cost more than FreshBooks at every comparable tier, and each plan has a fixed user limit, so growing teams face large jumps: from $85 on Essentials to $140 on Plus to $340 on Advanced. The Free plan caps you at 2 invoices a month.

  • Big price steps. A sixth user moves you from Plus to Advanced, an increase of $200 a month.
  • Solopreneur is tightly scoped. One user and no accountant access.
  • Desktop is winding down for new buyers. Intuit stopped selling new US subscriptions to QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus after September 30, 2024, so new customers are choosing between cloud products.

How Do You Switch From QuickBooks to FreshBooks, or Back?

Move at a month or quarter end, and move lists and balances first. Customers, open invoices, your chart of accounts and opening balances are the essentials. Full history is optional; keeping read access to the old system through year-end is simpler than importing every past transaction.

  1. Pick a cutover date after your last sales tax filing for the period.
  2. Export customers, items and open invoices, and import them into the new system.
  3. Enter opening balances from a trial balance at the cutover date.
  4. Reconnect bank feeds and payment processing, and reconcile each account to the cutover date.
  5. If you are moving payroll too, time it for a calendar-year boundary to keep year-end forms clean.
  6. Run both systems for one billing cycle before cancelling the old subscription.

The Verdict

Pick FreshBooks if your revenue comes from client work and your team is small. Its pricing rewards that shape of business, and its invoicing and project tools are built for it. Pick QuickBooks Online if you hold stock, report by location or department, or expect to need many finance users, because its plans are built around a full general ledger.
