The short answer: Todoist has three kinds of plan: a free plan for individuals, Pro for individuals who want the full feature set, and Business for teams, which is charged per member. Paid plans can be billed monthly or annually, and annual billing is cheaper. For a team, the relevant price is the Business plan multiplied by the number of members. How Todoist pricing works in 2026

Free plan

Todoist’s free plan is a complete personal task manager. You can capture tasks with natural-language dates, set recurring tasks, organise projects and sync across devices. The limits show up as your use grows: a cap on active projects, fewer filters and labels, limited activity history, and some features (such as reminders and certain views) reserved for paid plans. Pro

Both paid plans are available monthly or annually. Annual billing costs less per user. For a team, annual billing also makes it easier to budget, but check how members added during the year are charged.

Todoist free vs Pro: is it worth paying?

Pay for Pro if any of these apply to you:

  • you have hit the limit on active projects, or want more filters and labels;
  • you need reminders at a set time or place, not just due dates;
  • you want board and calendar views, or a record of completed tasks;
  • you want AI help to break down tasks or plan your day, where Todoist includes it.

Stay on the free plan if you use Todoist as a simple personal list and the limits have not got in the way. There is no penalty for starting free and upgrading later.

How much does Todoist cost for a team?

A team uses the Business plan, priced per member. Your cost is simply the number of members multiplied by the per-member Business price, monthly or annually. There is no separate charge for most integrations. Before you buy, think about three questions:

  • Who needs to be a member? Everyone who owns or works on team projects. People who only need to see progress might be served by shared updates or reports from another tool.
  • Is Todoist enough for team work? It is excellent for shared task lists and personal productivity. It does not have the resource planning, time tracking, dependencies, Gantt charts, portfolio views or deep automation of full project management platforms.
  • Are you replacing something? If Todoist replaces a heavier project tool, the saving can be large. If it sits alongside one, you are paying twice.

  • Headcount on Business. The only real lever. Every member adds to the bill.
  • Monthly billing. Month-to-month costs more per user than annual.

Illustrative inputs (not prices) for a small operations team:

  • Business members: 12 people who share recurring operational checklists and team projects.
  • Integrations: calendar and email, included.
  • Extra tools: none, because the team does not need time tracking or Gantt charts.
  • Billing: annual.
