Quick answer: Fleetio publishes per-vehicle pricing. Essential costs $4 per vehicle per month billed annually or $5 billed monthly, Professional costs $7 and Premium costs $10, both billed annually only. Users are unlimited on every plan, and there is a 14-day free trial with no credit card. Fleetio notes that these rates assume a 5-asset plan band, so larger fleets are quoted by fleet size range, contract term and payment term. All figures vendor-published, checked September 2026.
Fleetio is fleet maintenance and operations software: it tracks vehicles, inspections, service schedules, work orders, parts, fuel and costs. Unlike telematics vendors such as Samsara or Motive, it sells no GPS hardware and puts prices on its pricing page. The catch is in the footnote: the displayed rates are for a small fleet, and the tier you need depends on whether you run your own shop.
This guide covers each plan’s price and what it adds, what Fleetio costs for 10, 50 and 100 vehicles, the extra costs to plan for, and how it compares with cheaper maintenance tools.
How Much Does Fleetio Cost?
| Plan | Price per vehicle per month | Billing | Built for (Fleetio’s description) |
|---|---|---|---|
| Essential | $4 annual / $5 monthly | Annual or monthly | “Smaller fleets to organize vehicle inventory & manage inspections” |
| Professional (most popular) | $7 | Annual only | “Growing fleets to improve service tracking, communication & reporting” |
| Premium | $10 | Annual only | “Advanced fleets to integrate fleet systems & customize workflows” |
Fleetio’s footnote reads: “Fleetio subscriptions are priced based on plan, fleet size range, contract term, and payment term. GSA pricing for eligible buyers is available. Prices shown above assume a fleet with 5 assets subscribing to an Essential 5, Professional 5, or Premium 5 annual plan band.” Essential and Professional can be started as a self-serve trial; Premium is sold through a demo.
How Fleetio’s Pricing Model Works
Fleetio charges per vehicle, not per user. The comparison table lists “Unlimited Users” on all three plans, so adding drivers, technicians or managers does not change the bill. In Fleetio, “vehicles” include anything used to move people or goods (cars, trucks, trailers) and mechanized equipment such as forklifts and excavators.
Small equipment is priced separately. The Tools add-on covers items like mowers, generators and power tools; Fleetio’s FAQ says it “starts at $0.50 per piece per month” on average, with volume discounts on some tiers. Tools cannot be bought without the core Fleetio subscription.
Prices are set by plan band. Your quote depends on the fleet size range you fall into, how long you commit and whether you pay annually or monthly. Only Essential offers monthly billing.
What Each Fleetio Plan Includes
| Feature | Essential | Professional | Premium |
|---|---|---|---|
| Vehicle limit | Up to 100 vehicles | No cap listed | No cap listed |
| Vehicle groups | Up to 10 | Up to 100 | Unlimited |
| Service reminders, issues, faults | Yes | Yes | Yes |
| Inspections (mobile, offline, FMCSA templates) | Limited | Yes, plus schedules and workflows | Yes |
| NHTSA recalls | No | Yes | Yes |
| Work orders | No | Limited (with calendar) | Full: custom statuses, labor clock in/out, parts and labor markup, emailed work orders and invoices |
| Parts and inventory | No | Limited (parts records, multiple locations) | Full: purchase orders, stock adjustments, low-stock alerts, PartsTech |
| Outsourced maintenance / shop network | No | Yes | Yes |
| Tire and warranty management | No | No | Yes |
| Automations | None | Up to 5 active | Up to 40 active |
| Fuel card and telematics integrations | Yes | Yes | Yes |
| API access | No | Up to 50 requests/min | Up to 250 requests/min |
| Document storage | 2.5GB | 25GB | 250GB |
| Custom roles | Up to 4 | Up to 15 | Up to 30 |
| SAML single sign-on | Add-on | Yes | Yes |
The practical dividing line is work orders and parts. If outside shops do your repairs, Professional covers service tracking, recalls and the shop network. If you run an in-house shop and need to track labor, parts stock and purchase orders, the table points you to Premium.
What Fleetio Costs for 10, 50 and 100 Vehicles
These are estimates that multiply the published per-vehicle rates by fleet size. Because the published rates assume a 5-asset band, your actual quote at 50 or 100 vehicles may differ.
| Fleet size | Essential (annual) | Professional | Premium |
|---|---|---|---|
| 10 vehicles | $40/month ($480/year) | $70/month ($840/year) | $100/month ($1,200/year) |
| 50 vehicles | $200/month ($2,400/year) | $350/month ($4,200/year) | $500/month ($6,000/year) |
| 100 vehicles | $400/month ($4,800/year) | $700/month ($8,400/year) | $1,000/month ($12,000/year) |
On monthly billing, Essential for 10 vehicles would be $50 a month. Above 100 vehicles, Essential is off the table because of its vehicle cap.
Extra Costs to Plan For
- GPS and telematics hardware. Fleetio does not sell trackers. It integrates with telematics providers, so budget for a separate GPS or ELD subscription. Our vehicle tracking pricing guide covers those costs, and our Samsara pricing guide breaks down one of the larger options.
- Tools add-on. From about $0.50 per tool per month for small equipment.
- SAML single sign-on on Essential. Listed as an add-on for that plan only.
- Annual commitment. Professional and Premium are billed annually only, so the full year is paid up front.
Does Fleetio Have a Free Trial or Free Plan?
Fleetio offers a 14-day free trial with no credit card. Its FAQ says trial users get “access to all features,” plus onboarding tools and training videos. At the end of the trial, you add payment details or are invoiced to continue. There is no permanent free plan.
Fleetio vs Cheaper Fleet Maintenance Apps
If you need a free or cheaper option, Simply Fleet is the closest published-price alternative. Its pricing page lists a free plan for up to 5 vehicles and 3 users, Essential at $3 per vehicle per month and Advanced at $5 per vehicle per month (or $30 and $50 per vehicle per year).
| Fleetio | Simply Fleet | |
|---|---|---|
| Entry price | $4/vehicle/month annual ($5 monthly) | Free up to 5 vehicles; $3/vehicle/month |
| Top published tier | $10/vehicle/month (Premium) | $5/vehicle/month (Advanced) |
| Users | Unlimited on all plans | Free plan capped at 3 users |
| Trial | 14 days, no card | Free plan; 14-day unlocked trial on request |
Fleetio’s advantage is depth: parts inventory, purchase orders, advanced analytics, an API and a large integration directory. For a broader look at maintenance tools and how to choose, see our fleet maintenance software guide.
Is Fleetio Worth the Cost?
For most small and mid-size fleets, Fleetio’s software bill is modest next to the cost of a single missed service or an out-of-service truck. A 50-vehicle fleet on Professional pays about $350 a month at published rates. The decision is less about price than fit:
- Choose Essential if you mainly need a vehicle inventory, service reminders and digital inspections, with fewer than 100 vehicles.
- Choose Professional if outside shops handle your repairs and you want recalls, scheduled inspections, integrations and reporting.
- Choose Premium if you run your own shop, track parts stock and labor, or need advanced analytics and higher API limits.
- Look elsewhere if you want GPS tracking and ELD in the same subscription; telematics platforms such as Samsara and Motive bundle those, though usually on multi-year contracts. Our fleet management software roundup compares both types.
The Short Version
Fleetio costs $4, $7 or $10 per vehicle per month for Essential, Professional and Premium, with Essential also available at $5 on monthly billing. Users are unlimited, the trial is 14 days, and the published rates assume a small 5-asset band, so ask for a quote at your fleet size. Budget separately for GPS or telematics, because Fleetio integrates with trackers and does not sell them.

Frequently Asked Questions About Fleetio Pricing
How much does Fleetio cost per month?
Fleetio lists Essential at $4 per vehicle per month billed annually or $5 billed monthly, Professional at $7 and Premium at $10, both billed annually only. Those rates assume a 5-asset plan band, so a 10-vehicle fleet on Professional pays about $70 a month.
Does Fleetio charge per user?
No. Fleetio prices by vehicle, and its plan comparison lists unlimited users on Essential, Professional and Premium.
Does Fleetio have a free plan?
No, but it offers a 14-day free trial with no credit card required. Simply Fleet is a published-price alternative with a free plan for up to 5 vehicles and 3 users.
Is Fleetio any good?
Fleetio is a strong fit for fleets that want maintenance, inspections, parts and cost tracking in one place with unlimited users and published pricing. It is not a GPS tracker, so you will pair it with a telematics provider through one of its integrations.
Which Fleetio plan includes work orders?
Professional includes limited work orders and a maintenance calendar. Premium adds full work orders with custom statuses, labor clock in and out, parts and labor markup and emailed work orders and invoices. Essential has no work orders.
Does Fleetio include GPS tracking?
Fleetio does not sell GPS hardware. All three plans include telematics and fuel card integrations, so location, mileage and fault data can flow in from a separate tracking provider.
Can government fleets get special Fleetio pricing?
Yes. Fleetio’s pricing page says GSA pricing is available for eligible buyers. Contact Fleetio for the rate that applies to your agency.
