Who gets the most from Enterprise Search Software
- 1IT and workplace technology owners asked to make the company knowledge findable without moving it into a new system
- 2Knowledge management and internal communications leads whose wiki is accurate but unread because nobody can find the page
- 3Security and compliance reviewers deciding whether an index of every internal document may sit in a vendor cloud at all
How to choose Enterprise Search Software
Start with the list of systems your answers have to come from and check each vendor against it by name. Coverage claims are large and round, and the gap between 40 connectors and 500 matters far less than whether the one system holding your contracts is on either list. Next decide where the index may live. If the content cannot leave your network, that cuts the field immediately: Onyx publishes its code and runs in your own cloud, on bare metal or air-gapped, Datafari is open source, SWIRL deploys privately and queries each system live rather than copying it, and Pryon and Vectara both offer an on-premise installation. Then look at permissions. Every vendor claims to respect them, so ask how: whether the access rules are read at index time or checked per person at query time, and what happens when a document is reshared an hour after it was crawled. Finally, model the bill for your real headcount. A seat rate of $20 a month is a different purchase at 50 people and at 5,000, a credit allowance attached to an existing plan hides the cost until usage grows, and a deployment licence starting at $100,000 a year does not move with headcount at all. Where a vendor publishes nothing, treat the sales cycle itself as part of the cost.
