The short answer: Acumatica does not charge per user. Its cloud ERP is priced on the modules (applications) you license, the industry edition you choose, and the computing resources your transaction volume needs, with all users included. It is quote-based and sold through Acumatica partners, who also implement it. That makes Acumatica attractive for companies with many occasional users, such as approvers, field staff and warehouse teams, and less of an advantage for companies where only a handful of people ever log in.

How much does Acumatica cost?

Your Acumatica cost is set by what you run and how much you run through it, not by headcount. Two companies with the same revenue can get very different quotes: one processing a few hundred invoices a month on financials only, another pushing thousands of sales orders a day through distribution and commerce modules.

How Acumatica pricing works in 2026

No per-user fees

Acumatica is best known for pricing that includes unlimited users. You do not buy seats. That removes the usual trade-off between giving everyone access and keeping the licence bill down, so approvers, sales reps, project managers and warehouse staff can all work directly in the system without extra licences. For companies moving off per-user ERP, this is often the main reason Acumatica gets evaluated.

Resource-based subscription

In place of users, the subscription is sized by resource level: the computing capacity needed to handle your transaction volume and data. Partners estimate it from figures such as monthly sales orders, invoices, purchase orders, journal entries and number of companies. If volume grows, you move to a higher resource level. Ask your partner which metrics define each level and how you will be told when you are approaching the next one.

Editions and applications

Acumatica is packaged as industry editions, each bundling the applications that industry typically needs. You can add applications on top. Common editions cover general business (financials and distribution basics), distribution, manufacturing, construction, retail and commerce, and field service. Because each edition already bundles the core modules for that industry, choosing the right edition matters more than counting modules one by one.

Subscription or licence

Most customers buy Acumatica as a SaaS subscription hosted by Acumatica. Private cloud and on-premises options have been offered for customers with specific hosting requirements, with licence and maintenance terms instead of pure subscription. Is Acumatica cheaper than per-user ERP?

It depends on your ratio of users to transactions. Acumatica tends to be better value when:

  • many people need access but each uses the system lightly (approvals, time entry, field service, sales lookups);
  • you expect headcount to grow faster than transaction volume;
  • you want external users, such as customers or subcontractors, on portals without licence math.

It is less of an advantage when a small finance team is the only group logging in but transaction volume is high, for example a high-volume ecommerce seller with five back-office staff. What does an Acumatica implementation cost?

Acumatica sells through its partner channel (value-added resellers), and your partner quotes both the subscription and the implementation. The implementation fee is driven by:

  • the edition and number of applications going live;
  • the number of companies or branches and intercompany rules;
  • data migration: open balances only, or full transaction history;
  • integrations with ecommerce, CRM, payroll, banks, EDI and shipping;
  • customisation projects, reports and dashboards;
  • training and go-live support.

Hidden Acumatica costs to ask about

  1. Moving up a resource level. Growth in orders or companies can push you to the next level mid-contract. Ask what it costs and when it takes effect.
  2. Additional applications later. Adding WMS, advanced financials or project accounting after go-live adds subscription and a mini-implementation.
  3. Sandbox and test tenants. Confirm how many test environments are included and what extra ones cost.
  4. Marketplace apps. Sales tax, EDI, payroll and advanced reporting often come from third-party apps with their own subscriptions.
  5. Customisation upkeep. Customisation projects must be tested and sometimes updated at each major release.
  6. Partner support plans. First-line support usually comes from your partner, under a separate agreement.

Estimate your Acumatica cost: a simple formula

Year-one cost = E + P + L + I + A + S

  • E = annual subscription for your edition
  • P = annual fees for extra applications
  • L = resource-level uplift, if your volume sits above the entry level for your edition
  • I = implementation fee
  • A = marketplace apps and integration maintenance
  • S = partner support plan

Note what is missing: a user count. Illustrative example (counts only, no prices): a construction firm with 15 office staff, 40 project managers and superintendents entering time and approving costs, and 60 subcontractors using a portal would license the construction edition at the resource level for its job volume. On a per-user ERP, those 115 people would each be a line on the quote.

Acumatica pricing compared with NetSuite and Sage Intacct

Acumatica is most often compared with NetSuite. Both are cloud ERP for mid-market companies with industry depth, but NetSuite charges a base licence plus per-user fees and modules, while Acumatica charges by edition, applications and resources. How to choose your Acumatica configuration

  • Start with the edition. Pick the industry edition that matches how you make money, then add only the applications needed to go live.
  • Bring volume data to the first call. Monthly counts of sales orders, invoices, purchase orders and journal entries let partners size the resource level accurately.
  • List every user group. Even though users are free, knowing who will log in shapes training and security design.
  • Compare two partners. Partner quality drives most outcomes. Ask for references in your industry and your size.
  • Model growth. Estimate transaction volume in three years and ask what resource level that implies.

How to negotiate an Acumatica quote

Because users are free, the negotiation with Acumatica partners is about scope and volume, not seats. Focus on these points:

  • Challenge the resource level. Bring twelve months of real transaction counts. Partners sometimes size for peak or projected volume; ask what level current volume needs and what triggers a move up.
  • Buy applications in phases. Licence what you need at go-live and add applications later. Ask whether the price of later applications can be fixed in the first contract.
  • Compare edition against modules. An industry edition may include applications you would otherwise buy separately. Ask for both views.
  • Negotiate term and renewal. Longer terms can buy price protection. Get a written cap on annual renewal increases.
  • Fix the implementation. Ask for fixed fees per phase, a named project team and a clear definition of a change request.
  • Bundle support. Partner support plans vary widely; negotiate them alongside the subscription, not after go-live.

Also check which marketplace apps the partner is assuming. A lower subscription quote that leaves out tax, EDI or payroll apps is not a lower total.

  1. Which edition and applications are in this quote, and which of our processes are not covered?
  2. Which volume metrics set our resource level, and at what point would we move up?
  3. What does moving up a resource level cost, and can we lock that price now?
  4. How many sandbox tenants are included?
  5. Which marketplace apps will we need for tax, payroll, EDI and shipping, and who supports them?
  6. Is implementation fixed-fee per phase, and how are change requests approved?
  7. Who provides first-line support, what are the response times, and what does it cost?
