Short answer: choose ClickUp if your team’s main job is running projects: assigning tasks, tracking deadlines, managing sprints and automating status changes. Choose Notion if your main job is writing and organizing knowledge: wikis, docs, meeting notes and lightweight databases. Is ClickUp or Notion better for project management?

ClickUp is better for project management. It ships with Gantt charts, sprint management, workload views, native time tracking, goals and thousands of monthly automations, all built around tasks. Notion can model projects with databases and views, but you build and maintain that structure yourself, and project features like sprints and workload need templates or workarounds.

The two tools start from opposite ends. ClickUp’s basic unit is a task with an assignee, status, due date and custom fields, organized into Spaces, Folders and Lists, then shown as a list, board, calendar, Gantt chart or timeline. Docs and whiteboards sit alongside.

Notion’s basic unit is a page. A page can hold text, embeds and databases, and a database can be viewed as a table, board, calendar or timeline. That flexibility means a team can build a lightweight project tracker in an afternoon. It also means someone has to own the setup, and permission, reporting and dependency needs tend to grow faster than the template.

Is Notion better for docs and wikis?

Yes. Notion is the stronger choice for a company wiki, documentation and meeting notes. Its editor, page nesting, databases and publishing features (custom sites and forms on Plus) are built for knowledge work. ClickUp includes collaborative Docs on every plan, and they work well for docs tied to tasks, but they are secondary to its project features.

Notion’s Business plan adds features aimed at knowledge-heavy teams: Enterprise Search across connected tools (in beta when we checked), the ability to verify pages so readers know a document is current, private teamspaces and granular database permissions. Page history runs 7 days on Free and 30 days on Plus.

ClickUp Docs can be linked to tasks, shared with guests and edited together in real time. For a team that mainly needs specs and runbooks next to the work, that is enough. For a company handbook with hundreds of pages, Notion is easier to navigate and maintain.

How much do Notion and ClickUp cost?

ClickUp is cheaper per seat. Its Unlimited plan is $7 per user per month billed yearly ($10 monthly) and Business is $12 yearly ($19 monthly). Notion Plus is $10 per member per month billed yearly ($12 monthly) and Business is $20 yearly ($24 monthly). Both free plans work for individuals; teams usually need a paid tier.

AI changes the math. Notion bundles Notion Agent and AI Meeting Notes into its Business plan, and charges for Custom Agents through credits ($10 per 1,000 monthly credits after a free trial). What do the free plans include?

ClickUp’s Free Forever plan is more useful for a team: unlimited tasks, unlimited free-plan members, Kanban boards, sprint management, a calendar view and collaborative docs, capped at 60 MB of storage. Notion’s Free plan is designed for individuals, with unlimited blocks for one person, limited blocks once two or more members join, and 5 MB file uploads.

For a freelancer or a founder working alone, Notion Free covers personal notes, a small CRM and a content calendar comfortably. For a three-person team trying a shared task board, ClickUp Free lasts longer before the storage cap forces an upgrade.

Which has better automations and integrations?

ClickUp, for classic workflow automation. Its Business plan includes 5,000 automations a month and webhooks, and Enterprise raises that to 250,000. Notion’s approach is agent-based: Custom Agents run repetitive tasks on credits, and Notion Workers (in beta) let developers run custom code and sync external data.

ClickUp’s Unlimited plan unlocks unlimited integrations, including Slack, HubSpot and Google Drive, and Business adds webhooks and automation integrations. Notion’s Plus plan includes basic connections and Business adds premium connections; Enterprise adds security and compliance connections for DLP and SIEM tools.

Which is better for security and admin controls?

Notion reaches SAML SSO one tier earlier, on Business at $20. ClickUp puts SAML SSO and SCIM on Enterprise, with Google SSO on Business. Both keep SCIM provisioning and audit logs for Enterprise customers, and ClickUp Enterprise lists HIPAA availability and data residency.

Notion Business includes SAML SSO, domain verification, private teamspaces and granular database permissions. Notion Enterprise adds SCIM user provisioning, audit logs, domain management, advanced security controls and zero data retention with LLM providers.

Which is better for your type of team?

Engineering and product teams running sprints, agencies tracking client work and hours, and operations teams with repeatable workflows usually fit ClickUp. Content, research, HR and founder-led teams whose work is mostly documents fit Notion. Mixed teams often pair Notion for knowledge with ClickUp for delivery.

If you are unsure, run a two-week pilot on the free plans with one real project. Put the project plan in ClickUp and the related docs in Notion, then see which tool your team opens by default. That habit is a better predictor of adoption than any feature list.

What are the downsides of Notion?

For project work, Notion’s main downside is that structure is up to you: sprints, workload and dependencies need templates and ongoing upkeep. The free plan limits blocks once a second member joins, uploads cap at 5 MB, and SAML SSO starts at $20 per member on Business.

None of these are problems for a documentation-first team. They become friction when Notion turns into the company’s task tracker and more people start relying on it for deadlines.

What are the downsides of ClickUp?

ClickUp’s breadth is also its cost: there are many views, settings and feature toggles, so new users need onboarding and a clear workspace structure. Monthly billing on Business ($19) is much higher than yearly ($12), SAML SSO requires Enterprise, and its docs are good for work-attached pages but less suited to a large wiki.

Teams that succeed with ClickUp usually agree on a small set of Spaces, statuses and custom fields up front and hide the features they do not use.

Why do teams switch between Notion and ClickUp?

Teams usually move from Notion to ClickUp when a home-built project tracker stops scaling: they want native Gantt charts, time tracking, workloads and automations without maintaining templates. Teams move from ClickUp to Notion when they mainly need docs and a wiki and find a full project platform heavier than necessary.
